This policy explains how Flo4Paws (Florence Baker, trading as Flo4Paws) collects and uses your personal data. Flo4Paws is the data controller for the information you give us through our website, our intake forms and the Flo4Paws app. Florence Baker is registered with the Information Commissioner's Office, registration ZC263293.
The Flo4Paws app runs on a practice management platform provided by AnimoIT Ltd (Company No. 10219788). AnimoIT processes your data on our behalf and on our instructions, and does not use it for any purpose of its own.
Account information, dog information, behavioural diary entries, health form responses, comfort and movement assessments, photos and videos you upload, messages with your behaviourist, consultation details, appointment bookings, support packages and records of payments you make to us (amount, date and method), and technical data such as IP address and login timestamps.
We do not use your data for marketing and we do not sell it.
Contract, for providing the service you signed up for. Legitimate interests, for security logs and platform improvement. Consent, where you have explicitly provided photos or health data.
AnimoIT Ltd, which provides the app platform, and the suppliers it uses: Hetzner Online GmbH for server infrastructure, Cloudflare for file and media storage, and Amazon Web Services for transactional email in the EU North region. Your behaviourist can access everything you submit — that is the purpose of the service. If you add a co-owner for your dog, or we involve another professional in your dog's care (such as a veterinary physiotherapist), they can see the information about that dog that is shared with them. Nothing goes to anyone else unless you have agreed or the law requires it.
For as long as your account is active. On a deletion request we remove your personal data within 30 days, except where we are required to retain it. Backups are deleted automatically within 35 days.
When you submit an enquiry or intake form, we hold what you send us (your contact details, your dog's details and your answers) so that Flo4Paws can review it and invite you to set up an account. We email you a set-up link, which is valid for 7 days. If you set up your account, your information becomes part of your client record and is kept as described in section 5. If you don't, we permanently delete your submission 30 days after the link expires, no more than 37 days after you submitted it. Copies in our backups are deleted within 35 days as part of our normal backup cycle. You can ask us to delete your submission sooner at any time by contacting info@flo4paws.co.uk.
Under UK GDPR you can access, correct, delete, restrict or object to the processing of your data, and request it in a portable format. Email us and we will respond within 30 days. You may also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Encrypted connections, password hashing, and token-based authentication with short-lived access tokens. No method of transmission or storage is completely secure and we cannot guarantee absolute security.
Flo4Paws is intended for adults aged 18 and over. We do not knowingly collect personal data from children under 13.
